Job Summary:We are seeking a highly organized and detail-oriented Administrative Assistant to support our administrative and office management functions. The Administrative Assistant will play a vital role in ensuring the smooth operation of our office by handling various administrative tasks, coordinating schedules, and providing support to team members.


Responsibilities:

  1. Administrative Support:

    • Manage and maintain office records, files, and documents.
    • Handle incoming and outgoing correspondence, emails, and phone calls.
    • Assist with document preparation, formatting, and proofreading.
  2. Calendar Management:

    • Coordinate appointments, meetings, and travel arrangements for team members and executives.
    • Maintain and update calendars to ensure accurate scheduling.
  3. Communication:

    • Serve as a primary point of contact for internal and external inquiries.
    • Answer and direct incoming calls and greet visitors in a professional manner.
    • Distribute internal communications and announcements.
  4. Office Supplies and Inventory:

    • Monitor and replenish office supplies and stationery as needed.
    • Maintain inventory records and place orders for supplies.
  5. Meeting Support:

    • Prepare meeting agendas, materials, and presentations.
    • Arrange meeting logistics, including room setup and catering.
  6. Expense Management:

    • Assist with expense tracking, reimbursement requests, and budget management.
    • Maintain records of office-related expenditures and invoices.
  7. Document Management:

    • Organize and maintain electronic and physical files, ensuring accessibility and confidentiality.
    • Assist with document scanning, filing, and archiving.

Qualifications:

  • High school diploma or equivalent; additional education or relevant certifications are a plus.
  • Proven experience as an Administrative Assistant or in a similar administrative role.
  • Proficiency in office software and tools, including Microsoft Office (Word, Excel, Outlook).
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and a high level of accuracy.
  • Ability to multitask and prioritize tasks effectively.
  • Professional and friendly demeanor.
