Job Summary:We are seeking a highly organized and detail-oriented Administrative Assistant to support our administrative and office management functions. The Administrative Assistant will play a vital role in ensuring the smooth operation of our office by handling various administrative tasks, coordinating schedules, and providing support to team members.
Responsibilities:

Administrative Support:
- Manage and maintain office records, files, and documents.
- Handle incoming and outgoing correspondence, emails, and phone calls.
- Assist with document preparation, formatting, and proofreading.

Calendar Management:
- Coordinate appointments, meetings, and travel arrangements for team members and executives.
- Maintain and update calendars to ensure accurate scheduling.

Communication:
- Serve as a primary point of contact for internal and external inquiries.
- Answer and direct incoming calls and greet visitors in a professional manner.
- Distribute internal communications and announcements.

Office Supplies and Inventory:
- Monitor and replenish office supplies and stationery as needed.
- Maintain inventory records and place orders for supplies.

Meeting Support:
- Prepare meeting agendas, materials, and presentations.
- Arrange meeting logistics, including room setup and catering.

Expense Management:
- Assist with expense tracking, reimbursement requests, and budget management.
- Maintain records of office-related expenditures and invoices.

Document Management:
- Organize and maintain electronic and physical files, ensuring accessibility and confidentiality.
- Assist with document scanning, filing, and archiving.
Qualifications:
- High school diploma or equivalent; additional education or relevant certifications are a plus.
- Proven experience as an Administrative Assistant or in a similar administrative role.
- Proficiency in office software and tools, including Microsoft Office (Word, Excel, Outlook).
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Attention to detail and a high level of accuracy.
- Ability to multitask and prioritize tasks effectively.
- Professional and friendly demeanor.
