Job Description

Job Title: Receptionist

Location: Bhubaneswar

Key Responsibilities:

  1. Front Desk Management:

    • Greet and welcome visitors, clients, and employees with a warm and friendly demeanor.
    • Ensure a tidy and welcoming reception area.
  2. Visitor Assistance:

    • Register guests and issue visitor badges.
    • Notify employees of visitor arrivals.
    • Provide assistance and directions to guests as needed.
  3. Telephone and Email Handling:

    • Answer and route incoming phone calls to the appropriate personnel.
    • Respond to general inquiries and provide information to callers.
    • Manage and distribute incoming and outgoing mail and packages.
  4. Appointment Scheduling:

    • Schedule appointments and meetings as requested.
    • Maintain appointment calendars and notify staff of upcoming meetings.
  5. Administrative Support:

    • Assist with administrative tasks such as data entry, filing, and photocopying.
    • Support other departments with administrative needs as required.
  6. Security and Access Control:

    • Monitor access to the premises and enforce security protocols.
    • Ensure the security and confidentiality of sensitive information.
  7. Office Supplies and Inventory:

    • Maintain office supplies and order replacements as needed.
    • Keep inventory of office equipment and supplies.

Qualifications:

  • High school diploma or equivalent.
  • Proven experience as a Receptionist or in a similar role is a plus but not mandatory.
  • Excellent verbal and written communication skills.
  • Professional appearance and demeanor.
  • Strong organizational and multitasking abilities.
  • Proficiency in using office equipment, including multi-line phone systems.
  • Basic computer skills, including familiarity with Microsoft Office Suite.
  • Customer service-oriented with a positive attitude.
