Job Summary:

We are seeking a friendly and professional Receptionist to be the first point of contact for visitors, clients, and employees at our organization. The Receptionist will handle incoming calls, greet guests, provide information, and perform various administrative tasks to ensure the smooth operation of our front office.

Key Responsibilities:

  1. Front Desk Management:

    • Greet and welcome visitors with a positive and professional demeanor.
    • Answer and route incoming telephone calls promptly and courteously.
    • Provide information and assistance to callers and visitors.
  2. Visitor Assistance:

    • Register and sign in visitors, issue badges, and notify appropriate personnel of guest arrivals.
    • Ensure a comfortable and welcoming environment for visitors while they wait.
  3. Administrative Support:

    • Handle incoming and outgoing mail, packages, and deliveries.
    • Maintain an organized and tidy front office area.
    • Assist with scheduling appointments and managing conference room bookings.
  4. Communication:

    • Relay messages accurately and promptly to the intended recipients.
    • Assist with internal and external inquiries and direct them to the appropriate departments.
  5. Security and Access Control:

    • Enforce security protocols, ensuring the safety of personnel and property.
    • Monitor access control systems and visitor logs.
  6. Data Entry and Record-Keeping:

    • Maintain accurate records, including visitor logs and appointment schedules.
    • Assist with data entry and record-keeping tasks as needed.

Qualifications:

  • High school diploma or equivalent; additional education or certification is a plus.
  • Proven experience as a Receptionist or in a similar role.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Proficiency in using office equipment (e.g., phone systems, copiers, printers).
  • Basic computer skills, including familiarity with email and office software.
  • Professional appearance and demeanor.
  • Ability to multitask and manage time effectively.
